Payroll and Accounts Payable Coordinator

We are recruiting for a Payroll and Accounts Payable Coordinator. This is a hands-on role in a multi-national/multi-currency organization, best suited for individuals with experience in a fast-paced entrepreneurial service environment. This position offers the opportunity to make a big impact in an entrepreneurial environment and is an office-based role in our Burlington office (QEW and Burloak Drive).
As a key member of the company’s finance team, the Payroll and Accounts Payable Coordinator has dual responsibilities for ensuring the efficient operations of payroll and accounts payable. Specifically, the successful incumbent will administer monthly payrolls for our Canadian and US companies, facilitate benefit administration, manage and pay invoices, complete entries into accounting system, and manage payment of expenses reports.
YOU WILL…
Payroll
- Calculate, prepare, and maintain payroll using ADP Workforce Now, PayChex (US provider) and Vertical Limited Consulting (Malaysian & Singapore provider):
- Calculate monthly gross pays and all necessary deductions
- Verify and balance the payroll for accuracy
- Calculate and process Sales commissions
- Calculate the US payroll requirement for all Canadian based employees providing services in the US
- Calculate and process RRSP contributions, remit contributions to Sun Life
- Ensure the accuracy and treatment of all taxable benefits
- Enter data in ADP Workforce Now pertaining to new hires, terminations, leaves of absence, deductions, garnishments, salary adjustments, banking information, ROEs, etc.
- Complete reports and related remittances covering payroll, benefits, government programs, state tax remittances, year-end including accruals, T4’s, T4As, T2200s, Form 5500, Form 1099, etc.
- Update and maintain Canadian and US employees in their respective benefit plans
- Calculate benefit costs for new employees and update annual benefit rate changes for Canadian and US employees
- Access online and review benefit invoices for accuracy
- Respond to inquiries from current/terminated employees, Service Canada, and Human Resources
- Other duties or projects as assigned
Accounts Payable
- Review/validates incoming invoices
- Match invoices with Purchase Order (PO)
- Process invoices and prepare for approval
- Prepares journal entries for expense recognition and payment
- Reconciles statements sent by creditors
- Disburses and follows up all payable control documents for approval
- Requests bank wires for vendor payments in foreign currency
- Prepares all cheques for monthly cheque run or special payment
- Documentation management/ maintenance of files
- Management of expense reports (match receipts/confirm approvals)
- Creates, maintains, and updates customer files in account system
- Liaises with staff to gather receipts required for invoicing when required
- Performs monthly review and reconciliation to ensure all sales have been invoiced
- Creates customized items and descriptions as required
- Prepare and submits invoices to customers
- Other duties as required
YOU HAVE…
- Post-secondary diploma in Business, Accounting, or a related field
- Payroll certification preferred
- A minimum of three years of hands-on payroll experience with processing both Canadian and US payrolls
- Solid understanding of payroll principles and practices, including related Canadian, US payroll-related legislation
- Understanding of insurance and benefits programs administration for Canada and the US
- General understanding of accounting principles and practices, particularly related to accounts payable
- Prior knowledge/experience with ADP required
- Strong Excel skills
- Superior communication, organizational and analytical skills
- Excellent written and verbal communication skills
- Proven analytical skills as well as a high level of attention to detail
- Ability to prioritize work in a fast-paced environment
- Strong problem solver and able to take initiative
- Proven time management and organizational skills to execute time sensitive deliverables
- Proven ability to positively manage stakeholders’ relationships
